Access Files and Email Remotely

It is possible to access any files stored on the H: or I: drives remotely as well as accessing your emails. Log into the Staff Intranet from a remote computer, the ribbon at the bottom of the page contains useful shortcuts which allow access to your files & emails.

Book a Room

Rooms are available to book across the University for meetings or events. Most rooms can be booked centrally, however some rooms require booking directly with a Faculty or service - listed here.

Book a Visitor

It is best practice to notify the relevant reception desk of any visitor you are expecting by completing the Visitor Notification Form. If your visitor requires a parking space it is essential that this form is completed.

Claim Expenses

Any member of staff incurring personal expenditure on behalf of the University should seek reimbursement via a staff expenses form. All claims will need to be supported by an original receipt where applicable and authorised by the appropriate budget manager. The preferred method for reimbursement is through BACS on a weekly basis.

Photocopying/Printing

All main offices should have a printer/photocopier. To use the printer/photocopier you will need to use your staff card to access your secure documents.

Bulk printing can be arranged through the service provided by Xerox. This works out much more cost-effective than using the internal printers. The BU Digital Print Service user guide explains the benefits and ease of using the new system - this can be found here. Your first point of contact for the digital print service will be your departmental admin - see page 19 of the user guide.

Any printing ordered will be delivered direct to your desk on a Tuesday and Friday each week. The order deadlines for each of these deliveries are 5pm on a Tuesday for the Friday delivery and 3pm on a Friday for the Tuesday delivery.

Send Post

Please check with your administration office where your post should be left/collected from.

There is one round of postal deliveries & collections each day, starting at 2pm.  All mail is delivered, collected and processed at this time, the only exception to this being as follows:

  • Mail is delivered and collected in the morning for Melbury House due to the large volume of post processed in that building
  • Recorded and Special deliveries are delivered in the morning by the Facilities Assistants who are delivering parcels

All mail is normally sent 2nd Class unless otherwise specified, requests for 1st Class delivery must be accompanied by a Certificate for Posting Mail First Class, which must be signed by the appropriate Head of Department.

  • Internal mail: Please address correctly including full name, room number and building. An intercampus courier runs to once a day each morning.
  • International mail: Please ensure that this is separated from normal 1st and 2nd class mail and that it is clearly identified.
  • Personal mail: The University address should not be utilised for personal deliveries.
  • Special delivery/courier: Your administrator will have the paperwork required to send special delivery or via a courier company.

Order Catering

If you would like to order catering for a specific event you (or your Budget Holder/Manager) will need to place an order with Chartwells, the University’s caterers.
